  • The Export button on any account downloads its full history as a CODA or CAMT.053 file for your accountant's software, one statement per day with running balances. Meant for accounts with no bank statement of their own: Wise, Revolut, Stripe, cash. For a Belgian bank account keep using the bank's file; if unsure which format, send CODA.

    Invoice checks before approval

    Each invoice lists what is wrong with it at the top of its page. Missing line items and totals that do not add up block approval; a credit note without its invoice, a VAT number VIES does not know or a supplier IBAN that changed only warn. Findings clear as you edit.

    Export invoices as UBL

    Every sales invoice and expense downloads as a UBL e-invoice, the format accounting packages and Peppol use, singly or as a zip from the list. One that arrived as an e-invoice gives you the original file; the rest are built from the invoice with the PDF embedded. Invoices that would fail validation are left out of the zip, with the reason.

  • Drop a CODA file on a bank account like any other statement. A payment carrying the +++ reference of an invoice is matched to it. A batch payment is imported as one transaction. Importing a file that overlaps one already imported updates the transactions already there.

  • New

    Report figures link to their entries

    Click a figure on the balance sheet, income statement, trial balance or the statutory Bilan and it opens the account ledger for that period. Subtotals are not links.

  • A firm keeps its client companies in one portfolio and switches between them without signing out. Add a client by creating the company, inviting one already on Financica, or bringing across one you administer. A client company sees which members come through its firm and can end that itself.

  • Invite an investor or auditor with a read-only role: they can read the books and change nothing.

  • An ASBL or VZW gets the chart of accounts from annexe 3 of the PCMN: no capital, reserve or dividend accounts, and class 73 for membership fees, donations, bequests and grants.

  • New

    Update a scanned bill from its e-invoice

    When a Peppol UBL or Factur-X PDF arrives for a bill you uploaded as a scan, a banner offers to refill it from the supplier's data; nothing changes until you accept. The previous values stay in the audit trail.

  • One page runs the closing checks: unposted invoices, uncategorized payments, FX residuals, the tax accrual. It posts the corporate tax charge and the liquidation reserve for you, and either can be reversed. Other closing entries are still yours to post.

    Belgian corporate income tax

    Computes the tax charge from the books: disallowed expenses are read from the accounts, start-up reliefs and the exchange position are included. Anything the books do not contain is entered in a simulator. The result posts as a year-end entry.

    Annual accounts for the NBB

    Download the XBRL the NBB Filing application accepts from the year-end page, including the fixed-assets statement, legal form, business court and filing language.

    VAT current account

    Close a VAT period into the VAT current account, then import the FPS Finance account statements and post them like a bank feed. Payments reconcile against the bank transaction; each figure expands into its lines.

    Disputed and uncollectible amounts

    Mark invoice lines disputed or uncollectible from the editor. Stripe's uncollectible invoices post to the books on their own.

    Stripe refund receipts

    Refund receipts import as credit notes with the merchant's lines and number, and the refunded invoice PDF attached. Importing an invoice by URL brings its credit notes too.

    Invoice rounding line

    Add a rounding line to an invoice's totals. It is sent on the e-invoice as BT-114 and posts to its own P&L account.

    Negative price on a scanned bill

    A bill read from a PDF sometimes has its discount as a negative unit price, which Peppol does not accept. The line now carries a warning triangle; click it and confirm to make the quantity negative and the price positive. Line total and VAT are unchanged.

  • The practice portfolio shows, per client, what is waiting on you, the date the books are closed to, the next filing due and the legal form. A practice can now take over the subscription of a client that joined by invitation.

    Peppol delivery status

    A sent e-invoice shows how far it got on the Peppol network, so a queued one no longer looks received.

    Edit the details printed on the invoice and the supplier or customer record behind them in one place, including on invoices that arrived electronically.

    The assistant reads the ledger directly instead of a summary. It runs the year-end check, explains a VAT return discrepancy with the transactions behind it, checks whether a counterparty is on Peppol, and searches invoices by counterparty, date, status and amount.

    Post a journal entry from the account page; the balancing amount is filled in.

    Statutory reports in the reporting currency

    Foreign-currency balances are translated at the closing rate in the statutory statements and the NBB filing. An account can be marked as a contra so it is not read as a wrong-side balance.

    A Wise fee billed separately is attached to the transfer it belongs to.

    Re-importing a document

    Importing a document again adds the new data to the existing record instead of being rejected as a duplicate.

    Discount lines in UBL exports

    A bill with a discount or promotion line, one with a negative total, was listed under blocking issues, on bills received over Peppol too, and left out of the UBL zip. The books were never affected. Such a line is now written as a negative quantity at a positive price, as Peppol requires.

    Non-profit balance sheet layout

    An ASBL or VZW saw a company's equity section on its balance sheet. It now follows annexe 3 when the organization is an association or foundation. The figures were not affected. Set your legal form in settings if it was never recorded.

    Sole trader names were truncated

    Looking up a Belgian sole trader by VAT number dropped the first word of the name, so "Dupont, Jean" became "Jean" on invoices. Check the registered name in your settings; invoices issued meanwhile carry the short form.

    Stripe payments could double-count revenue and VAT

    A payment imported by the Stripe sync could post the invoice a second time instead of clearing it. Imported payments now clear the invoice, an invoice's journal entry can no longer be deleted alone, and existing duplicates were corrected. If you use Stripe, re-check VAT returns already filed.

    Company size test used pre-2024 thresholds

    Belgium raised the micro-company limits for financial years starting in 2024; Financica still used the old ones and could ask for a fuller set of annual accounts than required. If you filed for a 2024 year, check which model (full, abbreviated or micro) you were told to use.

    Credit notes in counterparty totals

    A credit note now subtracts from a counterparty's turnover instead of adding to it. Per-customer and per-supplier totals read before this were overstated.

    Scanned PDFs labeled as e-invoices

    A plain or scanned PDF carried the e-invoice label. The label now appears only when the bill has structured data behind it.

    Dashboard currency and FX rows

    The dashboard uses your organization's currency, the balance sheet uses the same closing rate as the other statutory reports, and a realized FX gain or loss shows as one row on the income statement.

    VAT on discounted lines

    Line VAT is charged on the discounted base, on invoices you write and on invoices Financica parses.

    Duplicate invoice detection

    When the same invoice arrives from two sources, a banner flags it and merges the pair into one record, keeping the richer line items and both sets of files.

    Belgian VAT returns fill grid 91, the December advance, from a VAT Prepayments account you choose to use.

    Paste a QuickBooks (connect.intuit.com) invoice link to import it, like Stripe, Orb and hosted links.
