Using the AI assistant

How to get useful answers, analyses, and safe write suggestions from Financica's AI assistant.

Financica's AI assistant is built for shared work between founders and accountants. It can explain what happened, search your books in plain language, summarize exceptions, and propose actions when you want help moving faster.

The AI assistant is available on Scale and Enterprise plans.

Opening the assistant

Press Cmd+J (Mac) or Ctrl+J (Windows/Linux) to open the assistant panel. You can also click the assistant icon in the sidebar. The assistant is context-aware -- it knows which page you are on and can reference the transaction, invoice, or account you are currently viewing.

Conversation history

Your conversations are saved and persist between sessions. You can load previous conversations or start a new one from the assistant panel.

What the AI assistant is good at

Use the AI assistant when you want reasoning, explanation, or synthesis:

  • Explain a transaction in plain language.
  • Summarize open receivables, payables, or uncategorized work.
  • See who owes you and who is most overdue, and what you owe suppliers.
  • Understand where your money goes and how this year compares with last.
  • Check whether your books are ready to close, and catch likely duplicate bills.
  • Find patterns across many transactions or invoices.
  • Draft suggestions for categorization or bookkeeping follow-up.
  • Turn an attached image into accounting context you can review.

If you already know exactly what you need to open, prefer the global search with ⌘K / Ctrl+K. The command palette is better for direct navigation and exact lookups. The AI assistant is better for questions.

Good prompts

For founders

  • "Give me a financial overview for this month."
  • "Who owes me money, and who is most overdue?"
  • "Where is my money going this year?"
  • "How is this year tracking versus last year?"
  • "What changed in cash compared with last month?"
  • "Create an invoice to Acme for 3 hours of consulting at €120."

For accountants

  • "Are my books ready to close for June?"
  • "Did any supplier bill get entered twice?"
  • "Show uncategorized transactions that need attention."
  • "What do we owe suppliers before month-end?"
  • "Explain why this invoice is still unreconciled."
  • "Leave a note on this transaction: waiting on the receipt."

Write mode

When Write mode is enabled, the AI assistant can propose actions that affect your data.

Important points:

  • The assistant does not silently change your books.
  • Each proposed action appears in the conversation with an approval step.
  • You can apply or dismiss every action individually.

That means founders can move faster without bypassing accountant review, and accountants can delegate repetitive work without losing control.

Images and attachments

You can attach an image to give the assistant more context. This is useful for:

  • receipts,
  • supplier invoices,
  • screenshots from a payment provider,
  • bank or bookkeeping screenshots you want explained.

The assistant uses the uploaded image as extra context for the conversation.

Built-in tools

The AI assistant has access to specialized tools that let it work with your data:

  • Search ledger entries -- Find specific transactions, journal entries, or patterns across your books.
  • Aged receivables & payables -- See open invoices bucketed by how overdue they are, so you know who to chase and what to pay first.
  • Expense breakdown -- Your largest expense categories for the year, each with its share of total spend.
  • Period comparison -- Revenue, expenses, and net income versus a prior date (this year vs last, by default).
  • Books health check -- A close-readiness scorecard: is the ledger balanced, is anything uncategorized, how much is overdue.
  • Duplicate detection -- Flags likely double-entered bills before they cost you money.
  • Account statements -- Any ledger account's movements over a period, with opening balance, per-line running balance, and closing balance. Ask "walk me through the bank account this quarter."
  • Missing receipts -- Supplier invoices without an attached document and expenses without a receipt, filtered by amount and period, so nothing is missing when the accountant or the tax office asks.
  • Browse your records -- List and inspect documents, team members, connected integrations, VAT account statements, Peppol e-invoices (sent and received), bank statement imports, and the audit trail, with filters for status and date.
  • Look up documentation -- Search Financica's help documentation to answer product questions.
  • Read documents -- Extract text from PDF attachments for analysis.
  • Generate report PDFs -- Produce a downloadable PDF of your balance sheet, income statement, or trial balance, in English, French, or Dutch. Ask for it in plain language ("send me the balance sheet as a PDF in French") and the assistant replies with a link you can open, download, or forward (it works on WhatsApp and the other channels too). Belgian organisations get the statutory format (Bilan / Comptes de résultats) automatically.
  • VAT return calculations -- Compute VAT positions and check return figures.
  • Cash position -- Summarize your current cash balances across accounts.
  • Cash flow history -- Month-by-month cash in/out and end balances across your bank accounts, with a runway projection. When you use the assistant from Claude or ChatGPT (via the connector), questions like "how did my cash evolve this year?" render an interactive chart.
  • Bank reconciliation -- Help identify unreconciled transactions and suggest matches.

In write mode, the assistant can also create invoices, propose categorizations and approvals, leave notes on transactions, and take other actions that modify your data -- each behind an approval step for anything that changes your books.

Best practices

  • Be specific about the period, counterparty, or workflow you care about.
  • Ask for explanation first if the accounting treatment is unclear.
  • Use global search for exact matches, then AI for interpretation.
  • Keep write mode off unless you are actively reviewing changes.
