Attaching documents to transactions
Upload receipts, invoices, and supporting files to transactions for a complete audit trail.
Every transaction in Financica can have supporting documents attached to it — receipts, invoices, contracts, or any other file that provides evidence for the transaction.
Why attach documents?
- Audit compliance — Tax authorities may require proof for deductions and expenses.
- Accountant clarity — Your accountant can see the original document without asking you for it.
- Record keeping — All documents are stored centrally and linked to the relevant transaction.
How to attach a document
- Open a transaction from the transactions list.
- Scroll to the documents section.
- Either drag and drop files onto the upload area, or click to browse your files.
- The document will upload and appear in the transaction's document list.
You can attach multiple documents to a single transaction.
Supported file types
Financica accepts most common file formats:
- PDF documents
- Images (PNG, JPG, HEIC)
- XML files (including UBL invoices)
- Spreadsheets and other office documents
The maximum file size is 100 MB per file.
UBL invoice detection
When you upload an XML file, Financica automatically checks if it is a UBL (Universal Business Language) invoice. If it is:
- The file is uploaded as a document attachment.
- Financica parses the UBL content and creates an invoice record automatically.
- You will see a notification confirming whether a new invoice was created or matched to an existing one.
This is useful for electronic invoicing workflows where you receive invoices in structured XML format.
Managing attachments
From the transaction detail view, you can see all attached documents with their file names and sizes. Documents are stored securely in cloud storage and accessible to all team members with access to the transaction.
Centralized document repository
All documents uploaded to transactions (and invoices) are also accessible from the Documents section in the sidebar. This gives you a single place to browse and search all supporting files across your organization.
