Transactions
AI-powered categorization
How Financica's AI suggests account assignments for your transactions.
Financica uses AI to analyze your pending transactions and suggest which ledger accounts they should be assigned to. This saves time on repetitive categorization work while keeping you in full control.
How it works
When you have uncategorized transactions, Financica's AI engine:
- Analyzes the transaction — It looks at the description, amount, counterparty, and patterns from similar past transactions.
- Suggests an account — It proposes the most likely ledger account with a confidence score.
- Explains its reasoning — Each suggestion includes a short rationale so you can judge whether it is correct.
Reviewing suggestions
AI suggestions appear when viewing a transaction that has a pending suggestion. You can:
- Accept — Apply the suggested categorization. The transaction is assigned to the suggested account.
- Modify — Change the suggested account to a different one if the AI was close but not quite right.
- Reject — Dismiss the suggestion entirely and categorize manually.
What the AI learns from
The AI builds its understanding from:
- Your historical categorizations — How you have categorized similar transactions in the past.
- Transaction descriptions — Bank-provided descriptions and counterparty names.
- Amount patterns — Recurring amounts that typically go to the same account.
The more transactions you categorize, the better the suggestions become.
Confidence scores
Each suggestion comes with a confidence indicator. Higher confidence means the AI is more certain about its suggestion, typically because it has seen many similar transactions categorized the same way.
Low-confidence suggestions are still worth reviewing — they may be correct for transactions the AI has not seen before.
Important notes
- AI never auto-applies — Every suggestion requires human approval before it takes effect. Your accountant always has the final say.
- Suggestions improve over time — The system learns from your corrections. If you consistently change a suggestion, future suggestions for similar transactions will reflect your preference.
- Organization-specific — The AI learns from your organization's data only. It does not share patterns between different organizations.
