Financica uses AI to analyze your transactions and suggest which ledger accounts they should be assigned to. This saves time on repetitive categorization work while keeping you in full control. Categorization is a batch flow: you pick the transactions, generate suggestions, review them side by side, and apply only the ones you approve.
How it works
- Select transactions — In the transactions list, select the transactions you want categorized.
- Open "Auto categorize" — This opens the auto-categorize dialog, which generates AI suggestions for the selected transactions.
- Review side by side — Each suggestion shows the current split next to the suggested split, a short rationale, and a confidence indicator. Any warnings are shown alongside the suggestion.
- Approve per row — Tick the suggestions you want to keep. Higher-confidence suggestions without warnings are preselected, but you decide what stays approved.
- Apply — Apply the approved suggestions. Only the rows you approved are changed.
Reviewing suggestions
For each transaction, the dialog presents:
- Current split — How the transaction is categorized today.
- Suggested split — The accounts the AI proposes, including any new accounts it would create.
- Rationale — A short explanation of why the AI made the suggestion.
- Confidence — A confidence indicator for the suggestion.
- Warnings — Any cautions the AI raised about a particular suggestion.
Transactions the AI could not confidently handle are listed under "Skipped" with a reason, so nothing is silently changed.
Confidence
Each suggestion comes with a confidence indicator shown in the review dialog. Higher-confidence suggestions without warnings are preselected for approval, but you can approve or unapprove any row before applying.
Important notes
- AI never auto-applies — Suggestions are only applied when you approve them and click apply. Your accountant always has the final say.
- You stay in control — You review every suggestion before it takes effect and can leave any of them unapproved.
- Organization-specific — The AI works from your organization's own data. It does not share patterns between different organizations.
