The Customers section gives you a comprehensive view of the businesses and individuals you sell to. It combines contact information with financial insights so you can track relationships and revenue in one place.
The customers page
Navigate to Accounting > Customers to see your customer list. Each entry shows:
- Company name — The customer's business name.
- Contact information — Email, phone, or address details.
- Type badge — Whether this counterparty is a customer, supplier, or both (some businesses are both).
- Annual turnover — Revenue from this customer for the selected year.
- VAT information — The customer's VAT number, if applicable.
Filtering and analysis
- Search — Find customers by company name.
- Year filter — Switch between years to compare revenue from each customer over time. Up to five years of history is available.
- Turnover trends — See how your revenue from each customer has changed year over year.
Multi-currency support
If you invoice customers in different currencies, their turnover is shown separately per currency. This gives you an accurate picture without misleading currency conversions.
Customer details
Click any customer to view their full profile, including:
- Contact and address details, with lifetime totals per currency: what you invoiced them, what is still open, and the last document
- The company number in its country's register (a Belgian enterprise number, a French SIREN), shown in the register's format. Belgian, French, Norwegian and Swedish numbers have their check digits verified, and a Belgian VAT number fills in the enterprise number it contains
- VAT registration numbers (stored without spaces or dots, duplicates merged automatically)
- The Invoices tab: every invoice and credit note linked to them, with due date, status, total and open balance
- The Insights tab (Scale plan): average monthly revenue over the last 12 months, how long they take to pay you on average, and the current standing between you, including anything past due
While editing a customer, Update from VAT register replaces the name and address with what the register holds. A Belgian company is read from the Crossroads Bank for Enterprises (BCE/KBO), from its enterprise number alone if it has no VAT number, and the VIES only says whether its VAT number is active. Other EU companies are read from the VIES. A company registered without an active VAT number, such as a public body or an association, is shown as such rather than as not found.
If the BCE/KBO records a Belgian customer or supplier in bankruptcy, liquidation or judicial reorganisation, its invoices show a warning in their checks.
The Insights tab
The Insights tab (Scale plan) reads the trading relationship from your books. It stays empty until at least one invoice or credit note for the customer is in the books, and shows one card per currency you invoice them in.
At the top, Last 12 months and All time switch the whole tab between the trailing twelve months and everything since the first document.
- Average monthly revenue: the total of your invoices to them less your credit notes, VAT included, divided by 12. All time, it is divided by the number of months since the first document.
- Average time for them to pay: from an invoice's issue date to the date of the bank movement that last settled it, over invoices that are fully paid. Settling an invoice with a credit note is not a payment and does not count, and invoices for zero are left out.
- Current standing: who owes whom today, and how much of it is past due.
Below the figures, two lists of bars break the same period down:
- Revenue by account: the ledger accounts the invoice lines were booked to, by code and name. Lines booked to no account show as Unassigned.
- Revenue by label: the labels on the posted invoices' transactions. An invoice with several labels counts under each of them, so this list does not have to add up to the list by account.
Both lists are ranked largest first, and each bar is drawn as a share of the largest entry in its list, not of the total. The amounts are the invoice lines, so they are net of VAT and credit notes are deducted; a customer you credited more than you invoiced shows a negative amount and a grey bar. Because the average above is VAT included, the bars do not add up to it, and the card says so. An account or label with nothing in the chosen period drops out of the list.
Belgium-specific features
For Belgian organizations, Financica generates the client listing — a mandatory annual report that lists all Belgian customers and the amounts invoiced to them. It has its own report page: go to Reports > Client listing to review the figures and download the XML file for Intervat. See client listing for details.
How customers are created
Customers are created automatically when:
- You create a revenue invoice with a new customer name.
- A supplier invoice is uploaded and the counterparty does not exist yet.
- A bank transaction is categorized with a new counterparty.
You can also create customers manually from the customer detail view.
