Managing suppliers

Track your suppliers, their contact details, and spending history.

The Suppliers section mirrors the customers section but focuses on the businesses you buy from. It helps you track spending, identify key suppliers, and maintain contact details.

The suppliers page

Navigate to Accounting > Suppliers to see your supplier list. Each entry shows:

  • Company name — The supplier's business name.
  • Contact information — Available contact details.
  • Type badge — Whether this counterparty is a supplier, customer, or both.
  • Annual spending — How much you have paid this supplier in the selected year.
  • VAT information — The supplier's VAT number.

Filtering and analysis

  • Search — Find suppliers by company name.
  • Year filter — Compare spending per supplier across years.
  • Spending trends — Identify which suppliers are costing more or less over time.

Supplier details

Click any supplier to view:

  • Contact and address information, with lifetime totals per currency: what they invoiced you, what is still open, and the last document
  • VAT registration numbers (stored without spaces or dots, duplicates merged automatically)
  • The Invoices tab: every invoice and credit note linked to them, with due date, status, total and open balance
  • The Insights tab (Scale plan): average monthly spend over the last 12 months, how long you take to pay them on average, and the current standing between you, including anything past due

While editing a supplier that has an EU VAT number, Update from VAT register replaces the name and address with what the register (VIES) holds for that number.

The Insights tab

The Insights tab (Scale plan) reads the trading relationship from your books. It stays empty until at least one invoice or credit note from the supplier is in the books, and shows one card per currency they invoice you in.

At the top, Last 12 months and All time switch the whole tab between the trailing twelve months and everything since the first document.

  • Average monthly spend: the total of their invoices less their credit notes, VAT included, divided by 12. All time, it is divided by the number of months since the first document.
  • Average time to pay them: from an invoice's issue date to the date of the bank movement that last settled it, over invoices that are fully paid. Settling an invoice with a credit note is not a payment and does not count, and invoices for zero are left out.
  • Current standing: who owes whom today, and how much of it is past due.

Below the figures, two lists of bars break the same period down:

  • Spend by account: the ledger accounts the invoice lines were booked to, by code and name. Lines booked to no account show as Unassigned.
  • Spend by label: the labels on the posted invoices' transactions. An invoice with several labels counts under each of them, so this list does not have to add up to the list by account.

Both lists are ranked largest first, and each bar is drawn as a share of the largest entry in its list, not of the total. The amounts are the invoice lines, so they are net of VAT and credit notes are deducted; a supplier who credited you more than they invoiced shows a negative amount and a grey bar. Because the average above is VAT included, the bars do not add up to it, and the card says so. An account or label with nothing in the chosen period drops out of the list.

Suppliers on an expense

An expense shows two things side by side that are easy to confuse:

  • The detected supplier details (name, address, tax ID) as read from the document. Editing them changes this invoice only. When the invoice comes from a structured e-invoice (Peppol/UBL) or a hosted document, these details are read-only and marked "From the document".
  • The linked supplier: the supplier record the invoice is booked against. Pick, change or unlink it from the invoice; the change is saved immediately. The arrow next to it opens the supplier in a new tab.

The pencil on the supplier card opens both in one dialog: the This invoice tab edits the detected details, the Supplier record tab edits the record itself, which applies to every invoice linked to it.

How suppliers are created

Suppliers are created automatically when:

  • You upload or create an expense invoice with a new supplier name.
  • A bank transaction is categorized with a new counterparty.
  • OCR extracts a new supplier from an uploaded document.

Counterparties can be both a customer and a supplier simultaneously — for example, a business partner you both buy from and sell to.
